Welcome to the BAMBI COMMITTEE. 

BAMBI is managed by a member-elected group of volunteers.  Some positions require a larger time commitment, while others simply require that you have a smiling face and give a little time. Some positions can be fulfilled almost entirely from home, while others will have you out and about at various BAMBI functions and in the community. 


•  Work with a great group of like-minded people and feel involved.
•  Take a role in directing the future of BAMBI.
• Have something concrete to put on your resume. 


•  Ummmm… zero! But entrance fees are waived for committee members attending BAMBI playgroups and events (including Bumps & Babies, Bring & Buy Sales, parties and special events). 


•  All Voting Positions Committee Members are required to attend the monthly committee meeting.
•  You and your family come first. As a volunteer you will be expected to do what you say you will do, but with the understanding that being the parent of young children often brings unexpected situations. You will form part of a team of parents – everyone is in the same boat!
•  Whilst the committee year runs for 12 months, many of us are unsure of our tenure in Bangkok. All we ask is for your commitment for as long as you can manage it.
This is to help you with some initial information regarding the working of the BAMBI Committee. Included is a list of the positions on the Committee with an outline of the different responsibilities. Also attached is a copy of the Constitution, and the although it may seem very official it is neither long nor complicate. By no means memorize it, but please read through and familiarize yourself with it. References to the Constitution come up from time to time in the meetings. 
  • Meetings: Committee meetings are normally held every 2nd Tuesday of the month, between 9:30am to 12 at a location specified in the previous meeting. There is no Committee Meetings on July and August. 
  • Voting: The Committee has a maximum of 15 voting positions. If the Coordinator cannot attend the meeting the next assistant can attend and vote. For Voting to take place, at least half of the Committee Members need to be present. Decisions are taken by majority vote. Someone proposes, someone else seconds and then a show of hands. Where there is a tied vote the Chairwoman has a casting vote. A note must be made of the proposal, the name of the Committee making the proposal, the name of the Committee member seconding the proposal, and the vote must be recorded accordingly e.g. unanimous, majority approved, or not approved. 
  • Agenda: the meeting is organized by the agenda, and every position on the Committee makes a brief report. Please no more than 10 min. To include something on the Agenda, contact Chairwoman one week before the meeting. 
  • Minutes of the Meeting: The secretary takes the minutes of the meeting. To fascilitate her task, give her a written summary of your report, or email her a copy. At the beginning of each meeting, the minutes from the previous meeting will be approved. You will receive these minutes from the Chairwoman via e-mail. If you weren’t able to attend a meeting, read the minutes to find out what was discussed and decided. It is assumed that each Committee members reads and knows the minutes as this the only way information from the meeting is disseminated. 
Helping out: in addition to the direct responsipilities of each position, each Committee Member can help out at the BAMBI Events and meetings as needed. 


1. To attend Committee meetings. If three consecutive meetings missed, without good reason, then the Committee member should resign from the committee or may be asked by the Committee to resign her position. 
2. To inform the BAMBI Chairwoman if unable to attend a meeting. 
3. To present any business to the Chairwoman in time for the Secretary to place it on the Agenda for the next Committee meeting. 
4. To attend committee meetings on time and to endeavor to remain until the close of meeting. 
5. To inform the Chairwoman if there is a need to leave the meeting before it ends. 
6. To read, before the meeting, and bring the Minutes of the last meeting to the Committee meeting.  
7. To prepare any information and reports relating to the Committee member’s position on the Committee for the Committee’s information at the committee meetings. 
8. To endeavor to work as a team member with other members of the Committee. 
9. To attend BAMBI events and meetings. 
10. To wear BAMBI Committee member’s label at events and meetings. 
11. To uphold the BAMBI Constitution and abide by the laws and regulations as written in the Constitution. 
  Committee Meeting Guidelines – (2 July 2008)   
1. Keep to the subject we are discussing. Add any new subjects to the agenda before the meeting if at all possible. In this way, each subject will be focused on and dealt with in turn. 
2. One person speaks at a time. More than one conversation at once prevents anything from being discussed and agreed effectively. 
3. Make your point clearly and succinctly - and allow others to make theirs. This will minimize any unnecessary repetition of content. 
4. If someone raises their hand and the chair addresses them, then this is the only person to speak at this time. 
5. Keep mobile phones on silent and take only necessary calls outside of the meeting room. 
6. Our meetings are designed to give each person the opportunity to cover important issues within their area. Where possible, discuss subjects at sub meetings and bring recommendations back to the full Committee. 
7. Committee meetings are principally for FINAL DECISIONS or for issues, which demand the attention of the FULL COMMITTEE. 



Who does what?
Co-ordinates the work of the Committee, Chairs the monthly Committee meeting and writes a column, to keep in touch with the membership, each month for the magazine.  Conducts the monthly committee meeting and endeavours to be present at BAMBI meetings and activities.  Acts as BAMBI’s official representative in the wider community and liaises with other voluntary groups in Bangkok. Prepares the yearly BAMBI membership survey, collects the results and summarizes them in a report. Attends CBFT meetings by invitation.  Prepares annual report for the AGM and the CBFT. Actively searching for sponsors is also part of the job. Needs and details of sponsorship are to be defined with Events, Playgroups etc. Together with the Treasurer, she establishes the Budget for each position BAMBI events, BAMBI Charities. 
Keep the Chairwoman informed of what’s going on. Send her am email if you want to include something on the Agenda. Let her know also if you cannot attend the Committee Meeting.

Records and distributes minutes of monthly meetings. Handles general correspondence and checks that BAMBI constitution is adhered to. Assists the Chairwoman with correspondence and office related tasks.  Chairs meetings when Chair not available. May also help with the representative aspects of the Chair by attending 1 or 2 non-BAMBI events per month, such as coffee mornings with the rest of the international community in Bangkok or visit charities, etc.  She participates/assists with events, fundraisers, and other organizational activities.
To facilitate her task, give her a written summary of your report via email after the Committee meeting.

Supervises the collection of money from all BAMBI activities. Keeps track of all income and expenses. Prepares accounts for each monthly Committee meeting and reports to the Chairwoman & Committee. Prepares accounts for the AGM and annual accounts for the CBFT.  Submits accounts to Chairwoman before distribution. She is responsible for banking funds and making payments. Chairs meetings when the Chair and Secretary are not available. 
Use an expense sheet to record expenses/income and give to the Treasurer each month.

Edits the BAMBI News monthly magazine; gathers and proofreads articles; decides on themes and layout of the magazine. Coordinates the production with the help of assistants and a graphic designer. 
Help out by sourcing articles, or write your own articles and send it to the team.
Deadline for edition: 25th of the month (i.e. January 25th for the March Edition) 
Helps the editor and the assistants with providing pictures from the BAMBI Events/Playgroups/New Members Coffee Mornings.

Ensures the online database is maintained, that membership details are up to date and distributes this information to the committee as needed. Send email to New Members Coordinator with the New Members List. Gather information about how many new members, expired members and renewals for the committee meetings. Send email to BAMBI editor and Scandmedia with :Birthday list, Mail out list, Expiry list.

Identify and evaluate potential charities to be recipients of BAMBI sponsorships. Follow BAMBI guidelines regarding sponsorships.  
1. Charity should be based in Thailand.
2. Charity should preferably be religiously and politically neutral.
3. Charity should be working for women and/or children.
4. Charity should be able to provide us a follow up report on how the donated was spent.
5. Charity should be responsive and clear in communication.
Charity team needs to write an Introductory Article on the Charity, article preferably must come on the same month when the event is going to take place.
Team also need to write a Follow up article to cover information on how donation is spent and a Thank you note for the members for their contribution.
Charity team is the centre point for all the donation related queries and information. Team need to take care of transportation and storage of material until its finally donated to the designated charity.
Team members need to man the Charities Table and manage Donation Boxes during all the events.
During Bring and Buy sale they have to arrange for sale of donated goods, and donate the proceeds to the charity being sponsored. Team need to work along with events team to organise and promote fundraising events.
Help out the team by donating items and by volunteering on the Bring and Buy sales charities table.

Organises and co-ordinates BAMBI’s Party Events.
These include, but are not limited to Easter Splash Party, Halloween, and Holiday Party. Responsibilities will include: Sponsor solicitation, setting-up and tidying up before and after events, organising kids activities and food vendors. 
Party events are based on seasonal celebrations – the Easter Splash Party occurs during the hottest part of the year and is held close to Songkran. Halloween is held on the closest Saturday to the end of October and the Holiday Party is held in December.

Organises and co-ordinates sale events (Yard Sales-3 times per year, BAMBI Bazaar) 
Yard Sales are held three times per year (Second Hand Items) 
The BAMBI Bazaar is a sale event but for new goods only. It is an opportunity for our members to do some holiday shopping for crafts and gift items and also includes activities for the children.

Welcomes new members to BAMBI and acts as main contact for enquiries. Hosts New Member Coffee mornings once a month. Assembles and updates New Member packs.  Attends BAMBI meetings and events to recruit new members.

Helps members about which playgroup to attend. Check the schools that wants to host a BAMBI and NON BAMBI SPONSORED Playgroups for safety. If it is a BAMBI sponsored playgroup the Coordinator has to sign with the School Coordinator “The BAMBI Sponsored playgroup terms and guidelines.” Coordinates monthly article for BAMBI NEWS regarding a specific BAMBI Playgroup.

Coordinates and supports BAMBI's special interest groups, such as adoptive parent, infertility, and Down's syndrome groups. Prepares regular articles for BAMBI NEWS concerning relevant/useful information’s.

Responsible for content, layout and updating of website.  Coordinates with assigned agency all website technical functioning.  Responds to e-mails and co-ordinates with the committee members website structure, content, policy, financing etc. The Website Coordinator and web team provide daily oversight to the webpage.  The team works diligently to ensure that all advertisements, classifieds, forums, events, etc. are up-to-date and site appropriate.  
Help out by sending all updates about BAMBI playgroups/events and Communities Events.

She is responsible to sending out the Electronic Newsletter to the members twice or once of month. She manages/updates newsletter subscriber list via Excel. She compile events, all things related to Bambi and community, from emails/website. She finds interesting content to add to newsletters. Requires some computer knowledge (Excel), knowledge of HTML, CSS, Dreamweaver, Illustrator helpful.
Help out by providing her with information about events and updates.

She coordinates with the Events Coordinator to notify the media of special and regular BAMBI events. Supplies various organizations with information about BAMBI (i.e. brochures, flyers). Keeps PR material up to date. Promotes BAMBI as an organization in general.

Serves as the primary contact and playgroup leader for the British Club playgroup, as well as one of the voting BAMBI Committee members.  Attends and manages the logistical and administrative components of the fortnightly playgroup.  Attends monthly committee meetings and participates/assists with events, fundraisers, and other organizational activities.

Co-ordinates the postnatal support team. Organises Bumps and Babies meetings and arranges for activities and speakers. She is collecting admission fees and submitting to the Treasurer. Also identifies need for and requests budget for equipment /books/ magazines etc. for group.  Gives information and update of Bumps and Babies programmes and activities to magazine editor and website manager.   Attends and reports to monthly Committee meetings.

Coordinates the Pattaya Playgroup, and helps expand the BAMBI in the area. 
Visit the playgroup if you are in the area, and encourage the BAMBI members to visit it.

They help the Committee to stay in touch with our Japanese members. This is a very polyvalent position which could cover issues ranging from questions about the BAMBI membership to translating basic ads for our events into Japanese, helping the Japanese community to express itself in our magazine/website and/or providing insights to the Committee on various aspects of the Japanese culture. 
Help out by guiding the Japanese members to contact our Japanese Team. 
The Playgroup Leader is one of the welcoming volunteers of BAMBI. He/she provides information regarding BAMBI playgroups, membership, events, etc. and is responsible for the logistical and administrative organization of the playgroup(s). She/ He arrives at the playgroup prior to opening, welcomes attendees and collects fees, provides snacks for the children and most of all, a friendly face for newcomers; takes new memberships and forwards their details to the Database Coordinator. 
Help out by helping the leaders to provide the update info about BAMBI and BAMBI Events 
Takes responsibility for special tasks when necessary. E.g. having archived magazines bound into book form. Also helps out with Bring & Buy sales, Christmas Bazaar Sale, Christmas Party etc.

This is a group of working mothers (paid or charity) who usually meet on the first or second Thursday of each month. The Coordinator is responsible to find the place for the dinner, make the reservations with the restaurant and invite the members each month. She may ask for the restaurant to provide a better price for the group.
